How to Automate Email Marketing with Zapier

1

Connect your email marketing platform

Go to 'My Apps' and connect your email tool (Mailchimp, ConvertKit, ActiveCampaign, SendGrid, Drip). Authenticate with your account credentials and select the workspace or account to use.

2

Automate subscriber management

Create a Zap to add new subscribers from any source: web forms, CRM contacts, Shopify customers, event registrations. Map the email, name, and any tags or segments. Use a Search step to check for existing subscribers first.

3

Trigger campaigns based on events

Set up Zaps that trigger email sequences based on app events. For example: new Stripe payment then tag subscriber as 'Customer' in ConvertKit, which triggers the post-purchase email sequence. Or: webinar registration then add to 'Webinar Attendees' segment in Mailchimp.

4

Sync engagement data back to your CRM

Create reverse Zaps: when someone opens an email or clicks a link in Mailchimp, update their CRM record with the engagement data. This gives sales reps visibility into which leads are actively engaging with your content.

5

Add tagging and segmentation logic

Use Paths to apply different tags based on subscriber behavior. For example: purchased Product A gets tagged 'Product A Customer'. Purchased Product B gets tagged 'Product B Customer'. This drives personalized follow-up sequences.

Pro tips

  • *

Always tag subscribers with their source (e.g., 'source-webform', 'source-shopify') so you can segment and analyze by acquisition channel

  • *

Use Zapier's Formatter to clean email addresses (lowercase, trim whitespace) before adding to your email platform

  • *

Set up a separate Zap to handle unsubscribes — when someone unsubscribes from Mailchimp, update their CRM record

  • *

Test with your own email address first to verify that the right tags, segments, and sequences are applied
