Define your top-level structure

Create 3-5 top-level sections in the sidebar. Common patterns: by function (Wiki, Projects, Meetings, Resources) or by team (Engineering, Marketing, HR, Operations). Avoid more than 7 top-level items — it becomes overwhelming.

Use Team Spaces for departments

On Business and Enterprise plans, create Team Spaces for each department. Each space has its own members, permissions, and sidebar. This prevents information overload — engineers don't see HR pages cluttering their sidebar.

Establish naming conventions

Set consistent naming rules: page titles should be descriptive ('Q2 2026 Marketing Plan', not 'Plan'), database names should indicate content type ('Tasks', 'Projects', 'Meetings'), and use icons consistently (same icon for same type across workspace).

Create a home page

Build a workspace home page that serves as the entry point. Include quick links to the most-used pages, a 'Getting Started' section for new members, recent updates, and announcements. Pin it to every team member's sidebar.

Archive instead of deleting

Create an 'Archive' section in your sidebar for completed projects, old meeting notes, and retired processes. This keeps active content clean while preserving searchability. Use database archive views (filter: Status is 'Archived') for databases.

Audit and maintain quarterly

Schedule a quarterly workspace audit. Review top-level pages, archive stale content, update the home page, and check that naming conventions are being followed. Assign a 'Notion admin' on each team to maintain their space.
